The Management Information System (MIS) Department of Goa Dairy serves as the analytical and data management backbone of the organization. While the EDP-IT Section focuses on infrastructure, hardware, and software platforms, the MIS Department is dedicated to data collection, analysis, reporting, and strategic insight generation to support informed decision-making at all levels of the Union.
Key Responsibilities and Functions
1. Data Collection and Consolidation
? Regular gathering of operational data from all functional departments including milk procurement, processing, distribution, finance, and human resources.
? Consolidation of data from field-level inputs such as societies, chilling centers, transporters, and retail points.
2. MIS Reporting and Analysis
? Preparation of daily, weekly, monthly, and annual MIS reports for internal use by management and departmental heads.
? Generation of customized reports and dashboards on parameters like milk inflow/outflow, sales trends, stock position, cost centers, and farmer payments.
3. Support for Policy and Strategic Decisions
? Providing reliable data to support decision-making related to pricing, procurement planning, budgeting, capacity utilization, and business growth.
? Facilitating performance tracking against KPIs (Key Performance Indicators) and business goals.
4. Regulatory and Audit Compliance
? Submission of required statistical data and reports to government bodies, co-operative department, auditors, and funding agencies.
? Ensuring data consistency and integrity for compliance with statutory and regulatory norms.
5. Co-ordination with Departments
? Acting as the central hub for inter-departmental data flow, ensuring alignment between procurement, production, sales, and finance departments.
? Providing timely data inputs during board meetings, policy reviews, and audits.
6. Monitoring and Evaluation (M&E)
? Tracking the performance of dairy societies, quality control metrics, plant efficiency, and consumer distribution channels.
? Identifying operational bottlenecks through data analysis and recommending corrective actions.
7. Farmer Welfare and Subsidy Tracking
? Maintaining detailed records of milk producers, society-wise procurement, and incentive payments.
? Assisting in the evaluation of schemes related to feed subsidy, animal health camps, and productivity enhancement programs.
Tools and Systems
The MIS Department operates in close coordination with the ERP platform and various departmental software systems, but retains independent control over data reporting frameworks, dashboards, and analytics tools. The department ensures data security, accuracy, and real-time availability through disciplined processes and verification protocols.
